1. Introduction

Race Rabbit LLC ("GetYourBib," "we," "us," or "our") operates the GetYourBib race registration and event management platform (the "Service"). This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and the choices you have.

By registering for an event, creating an account, or otherwise using the Service, you agree to the practices described in this policy.

2. Information We Collect

Depending on how you use the Service, we may collect:

Account and registration information

• Name, email address, phone number
• Date of birth
• Mailing address (address line 1/2, city, state, postal code, country)
• Gender
• Emergency contact name, phone number, and relationship

Event-specific information

• Race/distance selection, team affiliation, t-shirt size, merchandise selections
• Responses to custom registration questions set by the race director for a specific event
• Bib number and check-in status

Payment information

• We use Authorize.net to process payments. We do not store full credit card numbers on our servers. Authorize.net's own privacy policy governs how they handle payment data.
• We retain transaction records (amount, transaction ID, payment status, date) for accounting, reporting, and payout purposes.

Communications

• Emails you receive from us or from a race director/timer using the Service, and whether you've unsubscribed from a given category of communication
• Any messages you send us for support

Technical information

• Log data such as IP address, browser type, and access times, collected automatically when you use the Service

3. How We Use Your Information

We use the information we collect to:

• Process and confirm event registrations
• Assign bib numbers and manage day-of check-in
• Provide race directors and timers with the registrant information needed to operate the specific event you registered for (see Section 4)
• Process payments and manage refunds, payouts, and financial records
• Generate participant labels, reports, and demographic summaries for race directors
• Improve and maintain the Service
• Comply with legal obligations

We do not sell your personal information.

4. Who We Share Your Information With

Race Directors and Timers.

GetYourBib is a platform used by race directors and timing companies to manage their own events. When you register for an event, the race director and timer(s) responsible for that event can see your registration information — including your name, contact information, date of birth, emergency contact, and responses to any custom questions for that event. This access is necessary for them to run the event (packet pickup, results, safety, day-of logistics). Race directors and timers are independent of GetYourBib and are responsible for how they use the information you provide to them.

Service providers.

We share information with third parties who help us operate the Service:

• Authorize.net — payment processing
• SendGrid — sending confirmation, campaign, and transactional emails

These providers are only permitted to use your information to provide services to us and are bound by their own privacy and security obligations.

Legal requirements.

We may disclose information if required by law, subpoena, or other legal process, or if we believe disclosure is necessary to protect the rights, property, or safety of GetYourBib, our users, or others.

Business transfers.

If GetYourBib is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.

5. Data Retention

We retain registration and event data indefinitely to support historical reporting, results lookup, and race director recordkeeping, unless you request deletion (see Section 7). Race directors may archive past events rather than delete them, which preserves registration history but removes the event from active listings.

If a race director or Dictator-level administrator deletes an event with no completed registrations, the event is held for a recovery window before being permanently removed from our systems.

6. Children's Information

Some events on the Service, particularly youth cross-country and similar races, involve participants under the age of 18. If you are registering a minor for an event, you confirm that you are their parent or legal guardian and are consenting to the collection of their information as described in this policy for the purpose of event registration and participation.

We do not knowingly collect personal information from children for any purpose other than facilitating event registration on behalf of a parent or guardian.

7. Your Choices

Email preferences.

You can unsubscribe from race director email campaigns using the unsubscribe link included in those emails. Transactional emails related to a registration you've made (such as confirmations) may still be sent regardless of campaign unsubscribe status.

Access and correction.

You can review and update your registration information by logging into your account, or by contacting the race director or GetYourBib directly.

Deletion requests.

To request deletion of your personal information, contact us at charlie@getyourbib.com. We will evaluate the request consistent with our legal and recordkeeping obligations — for example, we may need to retain certain transaction records for accounting or legal purposes even after a deletion request.

8. Data Security

We use reasonable technical and organizational measures to protect your information, including encrypted storage of sensitive account fields and secure transmission of payment data through Authorize.net. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last Updated" date above and, where appropriate, provide additional notice.
